We only collect what we need to run the restaurant and communicate with you.

• Order information — name, phone, email (optional), delivery address (if applicable), order notes and the items you order.
• Contact form submissions — name, email, phone (optional), subject and message.
• Job applications — name, phone, email, position applied for, and any experience you share.
• Catering, gift card, franchise and rewards requests — the fields shown on each form.
• Technical data — IP address and browser user-agent, recorded alongside form submissions for security and abuse prevention.
• Local browser storage — cart contents and your cookie choice are stored locally in your browser, not on our servers.

How we use your information

• To prepare and fulfil your order, and to contact you about it.
• To respond to your message, application or request.
• To send rewards-related communication if you joined Oak Points.
• To protect the site from abuse and to keep our systems secure.
• To comply with legal obligations.

Cookies and local storage

We use cookies and browser local storage for:

• Essential functionality — keeping your cart working and remembering your pickup/delivery choice.
• Cookie consent — remembering whether you've accepted the cookie banner.

We don't run third-party advertising trackers. If you decline non-essential cookies via the cookie banner, only essential functionality stays active.

Where your data lives

Form submissions (orders, contacts, applications, etc.) are stored in plain JSON files on our web server. These are not publicly accessible. Access is limited to restaurant staff who need to see them in order to do their jobs.

Sharing your information

We do not sell your personal information. We share it only with:

• Service providers that help us run the website (e.g. hosting).
• Authorities, when legally required.
• Successors, if the business is sold or transferred.

How long we keep it

Order records: 24 months. Contact messages: 24 months. Job applications: 12 months. Rewards signups: while the account is active. You can request earlier deletion at any time.

Your rights

Depending on where you live, you may have the right to access, correct or delete your personal information, object to processing, or request portability. Contact us at hello@emberandoak.top to exercise any of these rights. We respond within 30 days.

Children

Our site is not directed at children under 13. We don't knowingly collect their personal information. If you believe a child has sent us information, contact us and we'll delete it.

Security

We use reasonable technical and organisational measures to protect your information. No system is completely secure, so we can't guarantee absolute security — but we take it seriously and improve things when we can.

Changes to this policy

We may update this policy occasionally. When we do, we'll change the "Last updated" date at the top. Material changes will be highlighted on the homepage for at least 14 days.
